B2Bpay with Xero integration: frequently asked questions

Connect Xero to B2Bpay to pay your approved Xero bills by card, bank account or PayTo from one screen, add a payment link to your Xero invoices, and have every payment, fee and customer receipt recorded in Xero automatically.

Why connect B2Bpay to Xero?

Short answer: Connecting Xero saves data entry. Your approved Xero bills appear in B2Bpay ready to pay by card, your Xero invoices get a payment link so customers can pay by card, and every payment, fee and receipt is recorded back in Xero automatically.

The integration works in both directions:

  • Payables. View and pay all your approved Xero bills in B2Bpay, by Visa, Mastercard, Amex, bank account or PayTo, even to suppliers who do not accept cards. You keep your full card points and earn B2B Points on the Earn plans.
  • Receivables. A payment link on your Xero invoice template takes customers to your branded payment page with the invoice details pre-filled. Payments reconcile in Xero.

Most of the questions below are about the practical details: accounts, the clearing account, and what you still have to reconcile.

How the payables connection works

You connect Xero from inside your B2Bpay account, authorise access, and choose two Xero accounts: a Payment Account (the card or bank account you pay with) and an Expense Account (where B2Bpay fees are recorded, often Bank Fees). B2Bpay then lists your approved Xero bills ready to pay.

When you pay, B2Bpay records the bill as paid, posts the fee to your Expense Account, posts the total to your Payment Account, and uses a B2Bpay Clearing Account in Xero to tie the amounts together. The only thing left for you is to reconcile the total in your Payment Account when the card statement line arrives.

Setup takes a few minutes. The team can walk you through it on 1300 205 575, and the same approach applies to MYOB and QuickBooks. See pay bills from Xero, MYOB or QuickBooks.

How the receivables connection works

Log in to B2Bpay as a biller, open your profile, connect Xero and choose a Payment Account (the bank account B2Bpay settles to, where Xero records the receipt) and an Expense Account for any fees you choose to absorb.

Your Xero invoices then show a "Pay with B2Bpay" option that opens your branded payment page. When a customer pays, Xero marks the invoice paid, or shows the remaining balance on a part payment. Funds arrive by EFT within 3 business days. See accept card payments for pricing and the Bonus Biller program.

Frequently asked questions

Why should I integrate my B2Bpay account with Xero?

Three reasons: you can view and pay all your approved Xero bills in B2Bpay by card; the payment link on your Xero invoice template lets customers pay you by card; and all payments, both payables and receivables, are recorded in Xero automatically, saving time and data entry.

What if I don't have a Xero account?

You can still use B2Bpay. Add payees and pay bills directly in the portal, and ask the team to put a payment link on any invoice template. If you are choosing accounting software, ask your accountant or bookkeeper which suits your business; B2Bpay also integrates with MYOB and QuickBooks.

What points do I earn when I pay Xero bills through B2Bpay?

You earn your card's full reward points plus B2B Points on the Earn plans: 1 per $1 on Earn Max, 1 per $2 on Earn Plus. B2B Points convert 1:1 to Qantas Points or Velocity Points, 2:1 to Avios and 1:2.5 to Luxury Escapes Société Points. See B2B Points.

Do I need to be a Qantas Business Rewards member?

Only if you want Qantas Points. Converting B2B Points to Qantas Points requires a Qantas Business Rewards account for your ABN; the join fee is waived through B2Bpay's link. Other partners are Virgin Australia Business Flyer, Qatar Airways Privilege Club and Luxury Escapes Société.

How do I connect my B2Bpay account to Xero to pay bills?

Log in to B2Bpay, choose the Xero bills option and sign in with Xero. Allow access, then connect. Choose a Payment Account (the card or bank account you pay with) and an Expense Account for B2Bpay fees. Your approved Xero bills then appear ready to select and pay.

Which Payment Account should I choose?

The credit card (or bank account, if paying by debit card or bank) you will use in B2Bpay. Payments are recorded to this Xero account, so it must match the card you pay with for reconciliation to work. If your card is not set up in Xero yet, add it as a credit card account in Xero first.

My Xero Payment Account isn't showing in B2Bpay. Why?

Xero accounts need a unique account code to be listed. Add a code to the account in Xero's chart of accounts, then refresh the page in B2Bpay. Credit card accounts are added in Xero through the bank accounts screen; search for "card" to find your issuer.

Can I use multiple cards with the Xero integration?

Yes. Link each card in your B2Bpay wallet to a different Xero Payment Account. Each payment is then recorded against the right card in Xero. You can change the linked account for any card at any time from your wallet.

What is the Expense Account for?

It is where B2Bpay's platform fee is recorded in Xero. Many customers choose Bank Fees; you can also create a dedicated B2Bpay Fees account. It only affects the fee. The bill itself is recorded against its existing Xero expense code, such as Rent or Telephone.

How do I change my Expense Account?

Disconnect Xero from B2Bpay and reconnect, choosing the new Expense Account during setup. Existing entries are not changed; only fees on future payments go to the new account. Your Payment Account links can be changed at any time from your wallet without disconnecting.

I'm connected. Now what?

Each time you log in, open the Xero bills screen. All approved bills loaded into Xero are there ready to pay. Select the bills, choose a payment date, and pay with the card or account in your wallet. If a supplier's bank details are missing, you will be prompted to enter them.

What happens in Xero once I have made a payment?

B2Bpay records the bill as paid, posts the platform fee to your Expense Account, posts the total charged to your Payment Account, and makes matching entries in the B2Bpay Clearing Account so the bill amount and fee are separated correctly.

What is the B2Bpay Clearing Account?

A virtual account created in Xero when you connect. It separates each payment into the bill amount (recorded against the bill) and the fee (recorded as an expense), with the total recorded to your Payment Account. Example: a $100 bill with a $1.50 fee creates $100, $1.50 and $101.50 entries.

Do I need to do anything in Xero after paying through B2Bpay?

Very little. B2Bpay reconciles the bill payment and fee entries in the clearing account automatically. You reconcile the transfer to your Payment Account when the card statement line arrives, by matching it or marking it as reconciled. Bulk reconciliation is available if you prefer to do it periodically.

Can I bulk reconcile the clearing account?

Yes. In Xero, open the B2Bpay Clearing Account, enable the Mark as Reconciled feature from the help menu, select all transactions and mark them as reconciled. It is fine to do this periodically and to include transactions that are already reconciled.

How do I connect Xero to receive payments?

Log in to B2Bpay as a biller, open your profile and the Xero tab, and sign in with Xero. Allow access and connect, then choose the bank account B2Bpay settles to as your Payment Account and an Expense Account for any fees you absorb. Your Xero invoices will then carry a Pay with B2Bpay option.

I already have a card payment option on my Xero invoices. Can I add B2Bpay?

Yes. Xero supports more than one payment service on an invoice, so customers can choose B2Bpay alongside your existing option. The benefit of B2Bpay is that you can earn Qantas Points when customers pay by Visa or Mastercard, and your customers can earn too if they enter their ABN.

What happens when a customer pays my Xero invoice through B2Bpay?

The invoice is updated as paid in Xero. If the customer pays part of the amount, the invoice shows the remaining balance. Funds reach your bank account by EFT within 3 business days with a reference that matches the Xero record.

How do I reconcile payments I receive in Xero?

With a bank feed, open Bank accounts, click Reconcile, find the statement line, use Find and Match to select the B2Bpay payment, and reconcile. Without a bank feed, open Account Transactions, select the transaction, choose More and Mark as Reconciled. Record card payments as at the statement line date.

What does paying Xero bills through B2Bpay cost?

A platform fee per payment, ex GST: Visa/Mastercard 1.10% Essential, 2.10% Earn Plus, 2.50% Earn Max; Amex 2.10%, 3.40%, 3.85%; bank account 0.50%, 1.00%, 1.87%; PayTo 0.60%, 1.10%, 1.97%. The fee is recorded to your Expense Account automatically. See pricing.

Does the integration work with MYOB and QuickBooks too?

Yes. B2Bpay integrates with Xero, MYOB and QuickBooks for both bills and bank feeds, using the same Payment Account, Expense Account and clearing account approach. Separate FAQ pages cover MYOB and QuickBooks, and the team can help with any of the three.
